Stylistic Formatting Tips


  • Spell out all position titles, company names, schools, divisions, departments, cities and most countries, etc.
  • Things to leave abbreviated: Jr. or Sr. (and both followed by a comma) when part of the person’s name, commonly abbreviated universities (e.g., Texas A&M), states, USA, FHWA, USDOT (spell out all other state’s DOTS) 
  • If an “&” is used be certain it is used only in the actual title of a company or term 
  • Never use two spaces after a period or a colon 
  • Times should be displayed as 10:00 a.m.–12:00 p.m. 
  • United States should be spelled out when used as a noun and abbreviated as an adjective (e.g., U.S.) 
  • Incorporated should always be abbreviated and followed by a period (e.g., Inc.) 
  • Do not spell out or capitalize “vs.” 
  • Spell out numbers one through nine, all others show numerically 
  • Spell out % (e.g., percent) 
  • Use initial caps in titles of sessions, speakers, etc. 
  • General capitalization rule: Do not capitalize words of three letters or less unless they begin the title. Some exceptions: always lower case in title (unless first word): in, with, from, of, to. Pronouns are always uppercase in titles. 
  • Hyphenated words should be upper case on both side of the hyphens in a title (e.g., Multi-Jurisdictional) 
  • Do not use serial commas (e.g., Red, blue, green and pink.) • When using a slash to separate two terms always close up space between (e.g., Traffic Engineering Council/Safety Council) • If senior appears in the job title; spell out (e.g., Senior Transportation Planner)
